Senior Operation Officer, Wuhan

Title: Senior Operation Officer, Wuhan

Reports to: Regional Head, Wuhan          

Location: Wuhan


Major Responsibilities: 

 1. Office Administration: 
• Facilities maintenance on daily basis, e.g. electric devices, furniture, heating, air conditioning, etc.; 
• Arrange purchase of office facilities and other accessories including office suppliers and handling issues monthly or as required if any; 

2. Storeroom management: 
•  In & out log keeping; goods are kept in good order; 

3. Vehicle management: 
• Keeping records of all WWF CHINA AND OPF vehicles, including field offices, such as vehicles in good condition and liaising with field offices to ensure their proper registrations, insurance, annual check-up, big maintenance check-up.etc..

4. Logistic service: 
• Support and implement the logistics to guarantee the normal operation of Wuhan regional office; 
• Answer internal/external phone calls and operate the switchboard, including
handling and administering general enquiries; 
• Welcome guests in professional manner; Manage visitors’ access to office, take record of visitor entry;  
• Organize/distribute incoming and outgoing faxes, mails and courier packages; 
• Handle pantry replenishment, stationery and office supplies; 
• Book business travel ticket for all staff based in Wuhan regional office;  
• Based on the issued flight tickets, to calculate CO2 emission and keep CO2 inventory    record both of Beijing and field office: keep daily record for all staff travel of CO2 emission as well as monthly, quarterly and annual record;  
• Make reimbursement for all expense smoothly every month; 

5. File Management 
•  File all WWF China and OPF offices legal documents; 
• File all offices rental agreements; 
• File all MOUs with official agencies, such as SFA, MCA etc. 

6. Fixed assets management according to WWF WWF CHINA AND OPF’s policy and procedures 
• Manage Fixed Assets’ purchasing procedure, register, insurance; 
• Manage Fixed Assets transfer, stock-taking/physical count; 
• Reconcile the fixed assets list between administration department and finance department; 

7. Perform other related duties as required 
• Book newspapers and magazines; 
• Update staff contact list regularly; 

• Arrange business card printing; 
• Check and ensure staff safety/security policy in place; 
• Help with other issues when requested and needed; 
• Volunteer management; 
• Maintaining good relationship with Jiefang Park; 

8.Operation&management of Jiefang Park Wetland Center
• New Office/Jiefang Park Wetland Center(Visitor center including 3 spaces exhibition room, learning and education room, shared working space 600m2)
• To carry out brand value communication relying on the Wetland Center;
• Management of the learning and education room;
• Consolidate the development foundation of Wuhan regional office relying on the Wetland Center;
• Developing institutional membership&expanding enterprise resources.
